The Growing Success of Entri App

Entri App, a fast-growing vernacular e-learning platform, is reshaping how millions of learners across India prepare for competitive exams such as PSC, SSC, UPSC, GATE, CAT, and railway recruitment. While the company continued to expand in the edtech landscape, its internal human resource operations struggled to keep up. Despite using the Keka HR application for certain tasks, the HR department — a compact team of just 12 people — was responsible for managing over 1,700 employees. This was no easy feat. Critical HR functions such as onboarding, document collection, leave approvals, and attendance tracking were handled through a patchwork of Google Sheets and Google Forms. As the company scaled, so did the operational inefficiencies and manual workload.

The Fragmented State of HR Operations

The HR team found itself swamped with repetitive tasks and disconnected systems. Payroll was handled manually, often leading to errors in salary calculations, deductions, and compliance processes. There was no streamlined way to generate payslips or manage statutory components like PF, ESI, or TDS. Onboarding new employees was another uphill battle. Most candidate data was collected via Google Forms, and identity verification — especially Aadhaar validation — was done through back-and-forth emails or phone calls, often taking several days per employee. Interview scheduling, too, lacked structure. Slots overlapped, appointments were missed, and there was no centralized calendar to coordinate between candidates and interviewers. Meanwhile, leave applications were still being submitted via WhatsApp messages or emails, with no trackable system in place. The HR team was doing its best, but their tools were holding them back. It was clear that Entri needed a single, unified system that could streamline everything — from recruitment to retirement.

The Solution: Custom-Built Frappe HRMS with Real-Time Integrations

The decision to implement Frappe HRMS brought immediate transformation. But this wasn’t a plug-and-play system — it was a thoughtfully crafted solution tailored to Entri’s needs. The system was built with both scalability and usability in mind.

Aadhaar Verification Made Simple with Cashfree

To eliminate delays in onboarding, Aadhaar verification was integrated directly into the HRMS through the Cashfree KYC API. Now, HR could verify an employee’s Aadhaar number instantly, securely, and without ever leaving the system.

Google Calendar Integration for Seamless Interviews

Interview scheduling was another critical pain point. The solution? A direct integration with Google Calendar. When HR schedules an interview within Frappe HRMS, it now automatically creates an event in the interviewer’s calendar, complete with candidate details and time slots. This greatly reduced conflicts and simplified the entire coordination process.

Smarter Payroll & Employee Self-Service Portal

A comprehensive payroll module was implemented to handle all aspects of salary processing — from allowances and deductions to statutory contributions.

Every employee was also provided with a secure login portal, empowering them to:

  • View and download their salary slips
  • Submit and manage leave requests
  • Update personal and banking information
  • Access important documents like Aadhaar, PAN, and offer letters

This self-service model drastically reduced HR workload and gave employees the transparency and access they needed.

On-Site Collaboration That Made the Difference

The success of this transformation was made possible by a committed team that worked hand-in-hand with Entri’s HR department. The project was managed by Vinu Prasad, with technical leadership from George Harshal. The development and configuration efforts were carried out by developers Ajmal K P, Neeraj R and Ann Riya Jaison. What set this project apart was not just the technology, but the approach — the team frequently visited Entri’s office, spent time understanding their day-to-day challenges, and co-created solutions that fit their exact workflow. In addition to on-site interactions, multiple hands-on training sessions were conducted, and continuous remote support was provided via a dedicated WhatsApp group. This ensured that the HR team felt supported throughout the entire journey — from implementation to adoption
